Important: Please read this policy carefully before registering for events

At Qubatic Education and Welfare Society, we strive to maintain transparency in all our financial transactions. This Refund & Cancellation Policy outlines the conditions under which refunds are provided for event registrations and donations.

Note: Registration fees for our charity events are considered donations to support our welfare programs. Refunds are provided only under specific circumstances as outlined below.

1. walkathon Registration Refunds

1.1 General Policy

Registration fees for the Qubatic Education and Charity walkathon are generally non-refundable as they are treated as donations to our welfare programs. However, we understand that exceptional circumstances may arise.

1.2 Refund Eligibility

Refunds may be considered in the following circumstances:

Medical Emergencies

With valid medical certificate submitted at least 7 days before event date. Administrative fee of ₹100 applies.

Travel Restrictions

Government-imposed travel restrictions preventing attendance. Documentation required. Administrative fee of ₹100 applies.

Event Cancellation by Organizer

Full refund (100%) if event is cancelled by Qubatic Education and Welfare Society.

Event Postponement

Option to transfer registration to new date or receive 80% refund.

1.3 Non-Refundable Circumstances

Refunds will NOT be provided in the following cases:

  • Change of mind or personal schedule conflicts
  • Weather conditions unless event is officially cancelled
  • Failure to attend without prior notice
  • Registration errors (please verify details before submission)
  • Requests made less than 7 days before event date

3. Donation Refunds

3.1 General Donation Policy

Donations to Qubatic Education and Welfare Society are non-refundable as they are immediately allocated to support our welfare programs. We issue 80G tax exemption certificates for all eligible donations.

3.2 Exceptional Circumstances

Refunds may be considered only in the following exceptional cases:

  • Technical Error: Duplicate donation due to technical error (must be reported within 24 hours)
  • Fraudulent Transaction: Unauthorized use of payment method
  • Bank Error: Transaction processed incorrectly by bank

Note: If you wish to cancel a recurring donation, please email us at donations@qubeducation.com at least 7 days before the next scheduled payment.

4. Event Cancellation by Organizer

4.1 Full Cancellation: In the unlikely event that we need to cancel the walkathon entirely, participants will have the following options:

  • 100% refund of registration fee
  • Transfer registration to next year's event
  • Convert registration fee to donation (with 80G certificate)

4.2 Postponement: If the event is postponed to a later date:

  • Automatic transfer to new date (no action required)
  • Option to request 80% refund
  • Option to transfer registration to another person

4.3 Format Change: If the event format changes (e.g., from physical to virtual walkathon):

  • Option to participate in new format
  • Option to request 50% refund
  • Option to transfer registration to next year

Event status updates will be communicated via email, website, and social media channels.

5. Refund Process & Timeline

5.1 How to Request a Refund

  1. Email your refund request to refunds@qubeducation.com with:
    • Full name and registration ID
    • Reason for refund request
    • Supporting documents (if applicable)
    • Bank details for refund (account number, IFSC code, account holder name)
  2. We will acknowledge your request within 48 hours
  3. Our team will review your request and respond within 7 working days
  4. If approved, refund will be processed as per timeline below

Note: Refunds will be processed only to the original payment method or bank account. Third-party refunds are not permitted.

8. Policy Updates & Communication

8.1 Policy Changes: We reserve the right to update this Refund & Cancellation Policy at any time. The updated version will be posted on our website with the effective date.

8.2 Communication: All refund-related communications will be sent via email to the address provided during registration. Please ensure your contact information is accurate and up-to-date.

8.3 Dispute Resolution: In case of any disputes regarding refunds, our decision will be final and binding. Unresolved disputes may be referred to arbitration in Mumbai, India.
